What we collect when you contact us or apply for a role, why we collect it, and who it passes through to reach us.

This policy describes how Koilio collects and processes personal data through koilio.com, including the "Get in touch" and "Careers" forms and the contact forms available on certain Insights pages.
This policy does not govern personal data processed in connection with client engagements, which is subject to the terms and agreements applicable to those engagements.

Information we collect
Depending on how you interact with the site, we may collect:
- Contact and enquiry forms: your name, email address, organisation, and the message you provide.
- Careers form: your name, email address, telephone number, LinkedIn profile URL, cover note, and any CV or résumé you upload. Documents you submit may contain additional personal information, such as your address, education, or employment history, at your discretion.
- Technical information associated with submissions: including IP address and related metadata used for spam prevention and security purposes.
- Aggregate analytics information, only if you consent: approximate location derived from IP address, device and browser type, pages viewed, and referring website. See Section 04 for how to accept or decline this.
We do not use cookies or analytics for advertising, cross-site tracking, or behavioural profiling, and analytics data is not linked to information you submit through our forms.

Why we collect your information
We process personal data to:
- Respond to enquiries and partnership requests;
- Evaluate employment applications and communicate with applicants;
- Detect and prevent spam, abuse, and unauthorised activity;
- Maintain the security and integrity of our website and systems; and
- Understand, in aggregate, how visitors use this site — only where you have consented to analytics cookies.
We do not sell personal data, and we do not use information submitted through our forms, or analytics data, for advertising or marketing purposes.

Service providers
Information submitted through our website may be processed by infrastructure providers acting on our behalf:

These providers process information solely for the purpose of delivering the services we use and are not authorised to use it for independent purposes.

Cookies
We use two categories of cookies on this site:
- Strictly necessary: Cloudflare Turnstile sets limited cookies required to detect and prevent spam and abuse on our forms. These do not require consent under applicable law, and are always active.
- Analytics, only with your consent: we use Google Analytics to understand aggregate visitor traffic — which pages are viewed, approximate visitor location, device type, and referring websites. This is not used for advertising, retargeting, or building individual visitor profiles, and is never linked to information you submit through our forms.
When you first visit, you can accept or decline analytics cookies. You can change that choice at any time using the Cookie settings link in the footer of this site.

International processing
The service providers identified above operate global infrastructure. Accordingly, personal data submitted through this website may be processed or temporarily stored outside India, including in the United States.
We rely on the security measures and contractual commitments maintained by these providers to safeguard such processing.

Retention
Form submissions are received and maintained through our email systems. Personal data is retained only for as long as reasonably necessary to respond to enquiries, administer recruitment processes, or satisfy legitimate business and legal requirements, after which it may be archived or deleted in accordance with our normal records management practices.

Your rights
Subject to applicable law, you may request that we:
- Confirm whether we hold personal data relating to you;
- Provide access to that information;
- Correct inaccurate or incomplete information;
- Delete personal data where retention is no longer required or otherwise justified;
- Inform you of disclosures made to third parties; or
- Withdraw consent previously provided for processing activities that rely on consent.
Withdrawal of consent does not affect processing carried out before the withdrawal and may limit our ability to continue providing the relevant service, including the evaluation of employment applications.
Requests may be submitted using the contact details below, and we will respond within a reasonable period.
Grievance redressal: If you have concerns regarding our handling of personal data or the exercise of your rights, please reach us through our Get in touch form, selecting "Consent withdrawal / data request" as the reason. We will investigate and address concerns in accordance with applicable law.

Children
This website is intended for business and professional use and is not directed at individuals under the age of 18. We do not knowingly collect personal data from children.

We may update this policy from time to time to reflect changes to our services, infrastructure, or legal obligations. The effective date shown on this page will indicate the latest revision.
